Hours - 30 hours per week, 6 hours per day Monday to Friday. Core hours can be 9am - 3pm or 10am-4pm

Pay - £13.50 per hour

Location - Remote, with quarterly visits to London (Haggerston) to attend quarterly meetings

THE ROLE

The Events Coordinator at The Big Bakes will play a key role in delivering seamless event planning and coordination for our corporate guests who book private events with us. This remote role requires an exceptionally organised individual with great attention to detail to ensure every event runs flawlessly. You will be one of the first points of contact for our guests, providing a warm and welcoming introduction to The Big Bakes experience. Your ability to manage multiple tasks, stay ahead of deadlines, and maintain clear communication will be crucial in delivering outstanding events.

Working closely with our sales team, you will manage confirmed enquiries, taking over the event management from our sales team and continuing to guide guests through the planning process, ensuring that every detail is considered. Your role will also involve liaising with our on-site teams, suppliers, and external partners to guarantee smooth operations and exceptional experiences for our guests. Your success will be our customers having an incredible day and wanting to bake with us again and again.

KEY RESPONSIBILITIES

  • Guest Coordination – Work with customers who have confirmed bookings to plan their experience, ensuring all details are tailored to their needs. You’ll liaise via our booking tool and phone calls to collect extra information on their day, add dietaries, brief our ops teams and ensure any further add ons get added for our guests. 

  • Operational Planning – Communicate with our on-site teams to ensure smooth event execution, confirming logistics and any special requirements.

  • Sales Support – Cover sales tasks in the absence of the sales team, assisting with guest enquiries and bookings.

  • Supplier & Partner Coordination – Liaise with suppliers and external partners as necessary.

  • Upsell our products - as our customers get closer to their days with us, ensure we are offering fab enhancements to their day, they may have forgotten to purchase when originally booking. 

  • Collaboration with Operations – Work closely with the operations team to ensure all elements are in place for a successful event, with weekly ops updates on the bakes for the week ahead. 

  • Process, Organisation & reporting – Maintain accurate records of booking details, schedules, and communications to ensure seamless experiences for our guests and easy access to event data for reporting

  • Problem Solving – Proactively address any issues that arise during the planning process and find effective solutions.

KEY RESPONSIBILITIES

  • At least 1 + years of professional experience in a similar capacity

  • Exceptional organisational and multitasking skills.

  • Excellent verbal and written communication skills.

  • Ability to work remotely while maintaining clear and timely communication with various teams.

  • Comfortable working with booking systems and general software.

  • Customer focused mindset with a strong attention to detail.

  • Ability to work under pressure and adapt to changing requirements.

  • Hospitality or live events experience a plus, not a must
